Terms of Service

These Terms of Service summarize the professional agreement between SOVA Entertainment / SOVA Kids Events and the Client for children's, family, holiday, corporate, and entertainment events.

This Terms of Service (“Agreement”) is entered into between SOVA Entertainment / SOVA Kids Events (“the Company”, “we”) and the Client (“you”) regarding the organization, coordination, and conduct of events and programs. The Agreement is governed by the laws of the State of Illinois, USA. By booking services, signing a contract, or registering for a program, you agree to these terms together with our Privacy Policy and Liability Waiver.

1. Agreement

The Company provides entertainment and event services including animators, characters, interactive programs, themed parties, shows, workshops, coordination, and full event production. Specific services, date, time, venue, number of guests, and program details are confirmed in the signed contract or booking confirmation.

2. Services and programs

Available services may include, among others: animators and characters, welcome characters, interactive and themed programs, bubble show, paper show, face painting, balloon art, glitter tattoos, workshops, mini-disco, dance programs, quests, princess and superhero parties, character meet & greet, family, birthday, school, daycare, festival, and corporate events, seasonal programs (Santa, Easter, Halloween), photo, video, décor, and event coordination. The final scope of services is defined in the contract for each event.

3. Payment and booking

Total amount, deposit, balance, and final payment date are specified in the contract. Booking is confirmed only after the deposit is received. The deposit reserves the date and is non-refundable. The remaining balance must be paid by the agreed final payment date before or as stated in the contract.

4. Cancellation and rescheduling

  • The deposit is not refundable.
  • Rescheduling is possible only if a suitable alternative date is available.
  • The Company does not guarantee availability of a new date.
  • Additional fees may apply for rescheduling or changes.

Late payment: If payment is overdue, the Company may cancel the booking, reschedule the event, or apply additional charges.

5. Schedule changes and additional time

Additional program time may be provided at the Company's availability and is billed separately. Rates depend on program type, number of animators and characters, equipment, complexity, and other organizational factors.

Delayed start: Waiting time after the team's arrival may be charged additionally if the delay is caused by the Client or venue.

Guest count changes: If the number of guests increases significantly, the Company may recommend additional staff and apply supplementary charges.

6. Additional costs

The following may be billed in addition to the base fee:

  • Parking;
  • Evening or off-hours travel;
  • Remote locations;
  • Toll roads;
  • Special venue access requirements;
  • Additional personnel beyond the booked package.

7. Client responsibilities

Technical requirements: The Client provides electricity, a safe surface, adequate space, lighting, and access for equipment as needed.

Supervision: Animators and performers do not act as nannies. Parents or designated responsible adults are fully responsible for children's supervision and safety.

Medical information: The Client must disclose allergies, medical conditions, and special needs in advance.

Outdoor events: For outdoor programs, the Client provides an alternative plan in case of adverse weather.

8. Company rights

The Company may suspend or discontinue services in cases of dangerous, aggressive, or unlawful behavior, or when safety is threatened.

The Company may modify program elements, activity order, props, or script due to technical, weather, age-related, safety, or unforeseen circumstances.

If staff are ill, the Company may provide an equivalent replacement, adjust the program, or reschedule affected services.

9. Equipment and program time

Unused time is not compensated if the program ends early for reasons attributable to the Client, venue, or guests.

Use of the Company's equipment without permission is prohibited. Damage to props or equipment caused by the Client or guests must be compensated by the Client.

10. Photo, video and brand

Photo and video permission is indicated in the contract (allowed / not allowed). Use of the SOVA brand, logos, or materials without written permission is prohibited.

For events including photo, video, or live streaming, the Company is not responsible for technical failures, internet connectivity, or third-party platform issues.

11. Liability waiver

Liability release is a separate integral part of this Agreement. Parents and the Client accept natural activity risks and release the Company from certain claims as described in the Liability Waiver. This release does not apply in cases of gross negligence by the Company.

12. Other provisions

Force majeure: The Company is not liable for circumstances beyond its reasonable control (severe weather, government orders, utilities, strikes, etc.).

Personal belongings: The Company is not responsible for lost, left-behind, or damaged personal items of guests.

Confidentiality: Client personal data is used only to organize the event and is not shared with third parties except as required by law. See our Privacy Policy for details.

Acknowledgment: The Client confirms having read this Agreement and all SOVA policies and agrees to comply with them.

13. Signatures and acceptance

Electronic signatures have the same legal effect as handwritten signatures.
